Job Description
As the Operations Specialist at Renaissance Philanthropy, you will play a key role in advancing the Arctic Stabilization Initiative ASI's mission to address catastrophic Arctic climate risk. Working closely with ASI's scientific leadership, external research partners, and internal teams, you will support program delivery, financial administration, and partner coordination, translating strategy into day-to-day execution. A technical climate science background is not required.
This position is full-time and based in Bellingham, Washington, with a preference for candidates who can spend at least half their working time in person. Salary range: $90,000–$110,000 (USD).
About The Arctic Stabilization Initiative
Following a year of incubation within Renaissance Philanthropy's Advanced Research for Climate Emergencies (ARC) initiative, the Arctic Stabilization Initiative (ASI) is approaching public launch and rapidly scaling. ASI is a 5-year research initiative focused on reducing the risk of catastrophic Arctic climate tipping points — specifically Greenland Ice Sheet melt, Arctic sea-ice loss, and permafrost thaw — systems that are already showing signs of destabilization, with potential cascading impacts on sea levels, weather patterns, and geopolitical stability. Through a stage-gated research process, ASI evaluates potential Arctic-targeted interventions, with an initial focus on Mixed-Phase Cloud Thinning (MCT), to determine whether such approaches could credibly reduce catastrophic risk while building the scientific and governance foundations needed to assess their safety and feasibility.
Role and Responsibilities
Operations
Build and coordinate workflows, track deliverables, and maintain internal systems (Airtable, shared dashboards, workflow trackers) across ASI workstreams
Serve as the coordination point between internal teams and external partners, ensuring alignment and timely follow-up
Manage meeting preparation, agenda development, action tracking, and documentation
Financial Support
Track grants, contracts, and consulting agreements, including deliverables, reporting deadlines, and payment milestones
Coordinate with Renaissance Philanthropy finance staff on invoice processing and budget tracking
Contribute to donor reporting and grant administration
Convenings & Logistics
Coordinate logistics for workshops, meetings, and stakeholder convenings
Manage travel arrangements for ASI staff and participants
Support field-based scientific activities and Arctic-focused convenings
Administrative Support
Maintain shared drives, program trackers, and internal planning materials
Support onboarding for staff, consultants, and contractors
Assist leadership in preparing coordination documents and organizational updates
Key Qualifications
Required
3+ years in program management, operations, nonprofit/philanthropy, or research administration
Strong organizational skills with the ability to manage multiple workstreams and competing priorities
Excellent written and verbal communication skills
Comfort with project management tools (Airtable, Notion, Asana, or similar) or willingness to learn
Genuine interest in climate risk, Arctic systems, or global risk
Preferred
Experience in grant administration or financial tracking
Background coordinating across technical, policy, or international stakeholders
Familiarity with field-based research or scientific programs
