Associate, Finance and Grants Management

Job Description

As the Associate, Finance and Grants Management at Renaissance Philanthropy, you will lead the management and stewardship of incoming grants and philanthropic funding, ensuring funds are accurately tracked, reported, and managed in compliance with funder requirements. This role oversees grant setup, budgeting, financial monitoring, and reporting, working closely with program, finance, and legal teams. The Associate, Finance and Grants Management plays a critical role in enabling Renaissance Philanthropy to responsibly receive and deploy capital in support of ambitious, high-impact initiatives.

This position is remote, with a slight preference for candidates able to work hybrid 1-2 days in office in New York or D.C. The salary band for this role is $90,000-$135,000 in the United States.


Role and Responsibilities

Grant Systems Management:

  • Record incoming grants, funder requirements, deliverables, and key milestones in Salesforce, ensuring data accuracy and completeness.

  • Maintain a comprehensive grants calendar tracking funder deliverables, reporting deadlines, installments, and incoming payments.

  • Serve as a liaison with funders to provide organizational due diligence information.

Financial Management and Reporting:

  • Record budgets for new grants and funded programs, and keep budgets up to date throughout the lifecycle of incoming grants.

  • Monitor, analyze, and forecast grant expenditures against approved budgets. 

  • Monitor program and grant level financials to ensure funds received are used in alignment with grant agreements and internal plans.

  • Prepare the financial components of funder grant reports, including spend-to-date, forecasts, and variance explanations.

  • Monitor subgrants and downstream funding where applicable, ensuring alignment with the requirements of incoming grants and funders.

  • Monitor and manage staff assignments on grant-funded projects, ensuring they align with approved budgets and comply with grant requirements. Adjust allocations as needed based on project changes.

  • Support accounts payable and receivable processes, including tracking incoming grant payments, monitoring grants payable, and ensuring timely and accurate processing of invoices and subgrant disbursements.

  • Conduct monthly reconciliation of grant accounts, identify and resolve discrepancies, and ensure accurate financial records.

Sub-Grant Monitoring and Compliance:

  • Monitor and track grants payable.

  • Conduct financial due diligence on sub-grantees.

  • Support program teams to ensure sub-grantee compliance.

Cross-Functional and Program Support:

  • Support program teams by providing relevant documentation, financial insights, and operational guidance.


Key Qualifications

  • 3+ years of experience in grants management, philanthropic operations, nonprofit finance, or a related field.

  • Accounting or Finance degree.

  • Familiarity with grant compliance, due diligence, and grant agreement structures (U.S. and international experience a plus).

  • Exceptional attention to detail paired with the ability to operate in fast-paced, ambiguous environments.

  • Strong project management skills and comfort managing multiple workstreams simultaneously.

  • Excellent written and verbal communication skills, with a service-oriented approach to working with internal and external partners.

  • General knowledge of non-profit accounting.

  • Experience with QuickBooks, Salesforce and grant systems is a plus.
